Donor Retention and Renewal Journeys
See who gave once, who gave last year but not this year, and whose dues have lapsed, then put each group on the right journey.
These images are illustrations of the concept, not screenshots of the actual product.
Overview
For a non-profit or membership association, the supporters most at risk are easy to lose track of: a first-time donor who never gives a second time, a regular donor who skipped this year, a monthly gift that fails on a declined card, a member whose dues quietly lapse. This concept adds a Retention view to HeadshotMarketing's CRM, beside Contacts, Leads, Deals and Pipeline, so development and membership teams can see those supporters in the segments fundraisers already work and put each group on a journey built with the product's automation.
Each group needs a different message at a different time, and each tends to surface in a different system: gala pledges in an events tool, declined-card notices from payments, lapsed dues in the membership system. The concept is designed so no gift goes unthanked and no lapse goes unnoticed, and so any journey can be paused or held for review before it sends.
The illustration shows a Donor and member retention page with New segment and Export buttons. Tiles report the share of gifts thanked within 48 hours, first-time donors awaiting a second gift, LYBUNT donors, who gave last year but not this year, and declined monthly gifts. A Segments table lists first-time gala donors, LYBUNT, declined monthly gifts, members in their grace period and SYBUNT donors, who gave in an earlier year but not this one. Each segment shows its supporter count, the value at risk, the journey it is on, the next step and a status of Active, Needs review or Paused. In the sample, the card-update journey is marked Needs review and the SYBUNT reactivation is paused until January. A Recent entries list shows each sample supporter with what happened, such as a gala pledge, a declined gift or lapsed dues, its source and an Open contact link.
Every entry is designed to show its source. A pledge made at a gala is designed to arrive from EventfullyManaged with the event named. A declined monthly gift is designed to be caught by a FluidGrids webhook, and a lapsed membership to be brought in from the membership system by FluidGrids and labeled with the member's ComradeCircle chapter. The LYBUNT journey's next step is a call list for a ComradeCircle leaders channel: the design intends lapsed-donor call lists to reach chapter leaders in a private channel without gift amounts. HeadshotMarketing holds the supporter record, the segments and the journeys.
What this concept shows
- A Retention tab in the CRM beside Contacts, Leads, Deals and Pipeline
- Tiles for gifts thanked within 48 hours, first-time donors awaiting a second gift, LYBUNT donors and declined monthly gifts
- Segments for first-time gala donors, LYBUNT, SYBUNT, declined monthly gifts and members in a dues grace period
- Supporter count, value at risk, journey and next step for every segment
- Active, Needs review and Paused statuses so a journey can be held before it sends
- Recent entries that name their source: an EventfullyManaged gala, or a FluidGrids trigger for a declined card or the membership system
- ComradeCircle chapter labels on members and a call list for a chapter leaders channel
- New segment, Export and Open contact actions
How it works
- Open CRM and select the Retention tab.
- Read the tiles for thank-you speed, first-time donors, LYBUNT donors and declined monthly gifts.
- Scan each segment's supporters, value at risk, journey and next step.
- Review a journey marked Needs review, such as the card-update reminder, before it sends, or pause one until a later date.
- Check recent entries to see where each supporter came from, then open the contact.
- Send the LYBUNT call list to the ComradeCircle leaders channel, which is designed to reach chapter leaders without gift amounts.
- Create a new segment or export a list when a campaign needs one.
Who it's for
- Development and fundraising teams
- Membership and chapter managers
- Donor stewardship coordinators

Donor and Member Retention Segments
This illustration shows the Donor and member retention page, opened from a Retention tab beside Contacts, Leads, Deals and Pipeline, with CRM highlighted in the left navigation and New segment and Export buttons. Four tiles give sample figures for gifts thanked within 48 hours, first-time donors awaiting a second gift, LYBUNT donors and declined monthly gifts. The Segments table lists first-time gala donors, LYBUNT, declined monthly gifts, members in grace period and SYBUNT, each with a checkbox and columns for supporters, value at risk, journey, next step and status. Next steps include an impact story email, a call list for a ComradeCircle leaders channel, a text reminder, a final dues notice and a pause until January; statuses read Active, Needs review or Paused. Recent entries show a gala pledge tagged with an EventfullyManaged event, a declined monthly gift triggered by FluidGrids, and lapsed dues brought in by FluidGrids from the membership system with a ComradeCircle chapter chip, each with an Open contact link.
